Walk into almost any $20–500M company and the truth is the same: whatever the software stack says on the website, the business runs on Excel. The quoting model, the production schedule, the cash forecast, the commission plan—some version of each lives in a workbook that one person built, one person understands, and everyone else is afraid to touch. So when a founder types “ai in excel” into a search bar, the question underneath is not academic. The question is whether these new AI tools can take some of that weight without a six-month software project. They can, and this guide is the working version of how.

This guide is written for the owner or executive who is good at Excel the way most of us are good at it—comfortable with a SUMIF, wary of any formula with a dollar sign in it—and who has no interest in becoming a data analyst. Everything on this page works with what a normal mid-market company already has: Microsoft 365, and a ChatGPT or Claude account. And whether the search that brought you here was “artificial intelligence in Excel,” “AI for Excel,” or “AI for spreadsheets,” the answer is the same, because the work is the same.

One promise before we start: nothing here asks you to buy a new tool, migrate your data, or trust a vendor with your numbers. The two paths below are the ones I walk clients through in the first month of coaching, and both start free.

What does 'AI in Excel' actually mean today?

The phrase covers two honest paths plus one crowded marketplace, and separating them saves real money. Path one is Microsoft Copilot, the AI assistant Microsoft builds into Excel on certain Microsoft 365 business plans. Copilot can see the workbook you have open: ask it to summarize a table, suggest a formula, or call out a trend, and it answers from your actual data. Path two is using a general AI assistant—ChatGPT or Claude—in a window beside Excel. The assistant cannot see your file, so you describe the spreadsheet or paste a small sample, and it hands back a formula, an explanation, or a plan. Path one needs the right Microsoft license. Path two needs nothing but an account.

The crowded marketplace is the add-in tools—dedicated products that generate formulas or chat with your sheet from inside Excel. Some of those add-ins are respectable software. But nearly all of them solve a slice of what the two paths above already cover, and the owners I coach rarely need one before they have squeezed the free options. My advice is boring and honest: start with the two paths, and shop for an add-in only when you hit a wall you can name.

Both paths share one idea that matters more than any feature list: artificial intelligence in Excel is not Excel getting smarter on its own. It is a person getting an always-available colleague who happens to know every function, every shortcut, and every data-cleaning trick—and who never gets impatient when you ask the same question twice. The spreadsheet stays where it is. What changes is how much of the mechanical work you still do by hand.

The two paths, side by side

Copilot inside Microsoft 365

  • Lives inside Excel on eligible Microsoft 365 business plans—check the license before assuming your company has it.
  • Sees the open workbook: summarizes tables, suggests formulas, spots trends, drafts charts from your real data.
  • Fits quick, in-the-file help when the data may stay inside Microsoft's business boundary.
  • Priced per user on most plans; earns its cost mainly when the whole company already lives in Microsoft 365.

ChatGPT or Claude beside Excel

  • Works with any spreadsheet—Excel of any vintage, Google Sheets, whatever you actually use.
  • Cannot see your file: you describe the columns or paste a small, safe sample, and it writes the formula or the plan.
  • Strongest for plain-English formula writing, decoding inherited formulas, and cleaning pasted data.
  • Free to start, and the skill transfers to every other AI task in the business.

Dedicated AI add-in tools

  • Add-ins that generate formulas or chat with sheets from inside Excel.
  • Solve a slice of what the two paths above already cover for free.
  • Worth a look only after the free paths hit a wall you can name—most owners I coach never hit one.

How to use AI beside Excel: the five-step workflow

The beside-Excel path works for every reader of this page, Copilot license or not, and it is where I start every client. Here is the full workflow, end to end, exactly as I teach it.

  1. Describe the job, not the formula

    Open ChatGPT or Claude and explain what you are trying to accomplish, the way you would brief a sharp new hire. Name the sheet, the columns, and what one row represents: “column A has invoice dates, column B has amounts, each row is one invoice.” If you know the function name, share it. If you don't, simply describe the outcome and let the AI choose between SUMIFS, XLOOKUP, and their cousins.

  2. Paste a small, safe sample

    Five to ten rows is enough for the AI to see the shape of your data. Before pasting, strip anything you would not hand to an outside vendor—customer names, account numbers, exact deal terms. When the data is too sensitive to paste at all, describe the structure instead; most formula questions do not require the real numbers.

  3. Ask for the formula and the explanation

    The formula is half the value. Always ask the AI to explain, in plain English, what the formula does cell by cell and what would make it break. The explanation is how a non-analyst catches a plausible-but-wrong answer before it reaches the cash forecast.

  4. Test on a copy of the real workbook

    Never learn on the live file. Save a copy, paste the formula in, and check the result against one number you can verify by hand—a single row, a small month, a total you already know. Two minutes of checking is what separates AI for Excel formulas from a quiet error that compounds for a year.

  5. Save the prompts that work

    When a prompt produces a good result, save the exact wording in a note. Three months of saved prompts becomes a personal playbook—the month-end prompt, the data-cleanup prompt, the decode-this-formula prompt—and each one gets faster every time you reuse it.

The five uses that pay back fastest, with prompts

These are the five spreadsheet jobs where AI pays back fastest in the companies I coach. Copy the prompts verbatim, replace the brackets with your material, and keep the closing line of each one—asking for the explanation is the habit that makes the rest safe.

Writing a formula from plain EnglishPrompt

In my Excel sheet, column A holds invoice dates (like 2026-01-14), column B holds invoice amounts, and column C holds customer names. Write a formula that totals all invoice amounts from January 2026. Then explain in plain English how the formula works, and show me how to change it for a different month.

Describing the columns matters more than knowing the function name. Choosing between SUMIFS, a pivot table, or a helper column is the AI's job; knowing what the business needs is yours.

Decoding a formula you inheritedPrompt

I inherited an Excel workbook from a former employee, and nobody here knows what this formula does: =IFERROR(VLOOKUP($A2,'Rate Card'!$B:$F,4,FALSE)*IF($C2>50,0.9,1),-1). Explain it in plain English, step by step, and tell me the three most likely reasons it returns -1.

Paste the formula exactly as it appears in the cell. The AI reads it the way a patient colleague would—line by line, with no judgment about whoever wrote it.

Cleaning data pasted from another systemPrompt

I pasted customer records from our old system into Excel and the formatting is inconsistent. Sample: [paste 5–10 rows]. Give me formulas or steps to split “LAST, First” names into separate first and last name columns, fix the capitalization, and flag every row with a missing or malformed email address.

Data cleaning is where AI quietly saves the most hours, because pasted data is usually too irregular for one tidy formula and too tedious for a person's full attention.

Getting the story out of a tablePrompt

Below is our quarterly sales table by rep: [paste the table, with names removed if you prefer]. Summarize what the table says in three plain sentences I could say out loud at our owners' meeting, then point out the one row you find most surprising and why.

Keep the table small—one quarter, not five years. The goal is the narrative for the room, not another chart nobody reads.

A checklist for a report you rebuild every monthPrompt

Every month I build the same sales report in Excel: I export from our system, clean the data, refresh three pivot tables, and copy charts into a deck. Ask me up to five questions about my process first, then turn it into a numbered checklist that [my assistant / a new hire] could follow so the report comes out the same way every month.

The checklist is the least glamorous use on this page and the one owners are still using six months later—it turns one person's memory into the company's process.

What are the honest limits of AI for Excel?

The first limit is eyesight. On the beside-Excel path, the AI cannot see your file—it knows only what you paste, and pasting means small ranges, not the 40,000-row ledger. Small samples are usually enough for formula work, but anything pasted into a chat window should be treated as shared with an outside vendor: strip the names, blank the account numbers, round the deal terms. The second limit is confidence without correctness. AI writes plausible formulas, and a plausible-but-wrong formula inside a cash forecast is worse than no formula at all, because it looks right. The defense is the workflow above: test on a copy, verify one result by hand, and read the explanation before trusting the output. Owners who skip the verification step are the ones who end up in my office wondering where the number went.

The third limit is meaning. The AI does not know that “net revenue” at your company nets out freight, or that the March number is always restated in April. Artificial intelligence in Excel handles the mechanics—the functions, the cleaning, the first draft of the summary. Judgment about what the numbers mean stays with the person who runs the business, which is exactly where it belongs.

When the spreadsheet stops being the real problem

Everything on this page is doable tonight, free, alone—and a lot of owners should stop there for a while, because fluency in these five uses already changes a workweek. The ceiling I watch clients hit arrives around the second or third month: the formulas are easy now, and the real question shifts to why the report exists at all, who should be building it, and which of the company's twenty recurring spreadsheets deserves a fresh process first.

That shift—from “how do I write this formula” to “how should this process work”—is where a human teacher earns the fee. Not an AI coach bot, not another course: a person who sits with your actual work, finds the hours these tools can hand back, and builds the prompts and habits around your business.
